RESPONSIBILITIES: The Senior Accountant’s essential duties are:
Proficiently use the Yardi Voyager System for:
Work Orders: Prepare semi-monthly work order package and labor reports. Analyze the work order package and labor reports for errors and inconsistencies. Work with Controller to make corrections and review processes.
Payables: Understand the payable process from the receipt of an invoice to the payment on a check
Assist others with inputting payables and coding Invoices
Work with vendors to reconcile accounts.
Process positive pay for each bank account.
Review Positive pay exceptions. Verify exceptions with Bank.
Deposits: Process rent deposits during the month with the beginning of the month being the heaviest.
Reconcile deposits to bank receipts.
Use in house check scanner to make electronic deposits.
Process miscellaneous receipts and security deposits.
Rents: Setup and process tenants in the rent system.
Understand the flow of the tenant process from move-in to move-out
Back-up for front office rent person
Payroll: This position is responsible for the building manager’s and Service Center bi-monthly payroll.
Includes proofing time cards, calculating holiday and vacation pay.
Setting up new employees in the payroll system.
Work with the Pensoft payroll system and be able to utilize all its functions.
Once the payroll is complete the accountant marks up the payroll information and allocates the cost to each building through the work order system.
Process the 25 payroll for the whole company. This Includes:
Uploading the direct deposit file to the bank
Posting the positive pay file
Record the payroll to the general ledger through journal entries
Make the state and federal tax payment.
Bank Reconciliations: Prepare bank reconciliations for eight operational accounts.
Monthly analysis of rent charges:
Look at rent charges for each building.
Explain and/or correct any variances from prior month
Only variance in account should be rent increases
Other variances that need to be fixed
Rent charged in wrong month
Incorrect rent charged
Prior month errors corrected in current month
Produce monthly financial statements for four entities.
Process reoccurring journal entries
Analyze income, expense and balance sheet accounts
Work with front office on collection letters
Review account receivables for bad debt items
Record bad debt journal entry and add to Access data base.
Record collection checks and add to Access data base.
Process purchases and sales of various building materials to related companies.
Maintain Spreadsheet Data For:
Carpet Cleaning common areas
Brauns Freight charge for carpeting
Track yearly purchase of
Interaction with company President – Monthly meeting to go over Accounting / Office issues and projects.
Perform other duties as assigned
Prepare pet statements
Have a working knowledge of the controller’s duties.
Real Estate Tax
Personal Property Tax
Quarterly Tax payments and reports
Workmen’s Compensation Audit
Disbursements to owners
Profit Sharing / 401K Trust
Year End tax reporting
Work with outside Accounting Firm
ABILITIES: The Senior Accountant must:
Be proficient in the use of Excel, Word & Access
Be able to problem solve
Communicate in a professional manner
Maintain confidential information
Handle multiple tasks
Organize and perform work in a timely and efficient manner
Work as part of the accounting team
REQUIREMENTS: The Senior Accountant is required to:
Have a BA degree in accounting/Business
Have 2+ years of experience working in the accounting field
Have a CPA or be interested in obtaining
